Understanding Workflow

Using built-in workflow is simple. Each content type (Web Page, Folder, Photo, etc.) has a workflow model associated to it. Each workflow model has states that content objects hold. Depending on the current state of an object, various transitions are available. Here are some common states:

  • Visible. This state is the default state for most objects that are not folder-ish. Typically, a visible state means that Members can view the content, but anonymous users cannot.
  • Private. This state can be set if a Member of the site wishes to hide their content from all other users within the site.
  • Pending. This state is set by Members who create content and wish it to be published on the site. Some Members may not have a role that allows them to automatically publish the content and so must therefore submit it for publication. Once an item is set to this state, it cannot be modifed unless it is moved back into a visible state to work with. A user with the Manager role, however, can change content anywhere on the site at anytime.
  • Published. This state allows content to be viewed by anonymous users. It is effectively published for everyone to see.


It is important to take note of the state of content when working with them. It is easy to forget to publish content and then wonder why it is not accessible.

Default States

  • Visible. Web Pages, Events, File Attachments
  • Published. Folders, Photos, Photo Albums.
